Job Description:

BUCK is seeking a Studio Coordinator for our LA Studio located in Little Tokyo, Los Angeles. This person will support the Studio Manager in keeping our studio operations smooth, efficient, and joyful—bridging hospitality, organization, safety, and culture. It’s a multifaceted role ideal for someone who’s resourceful, proactive, people-loving, and thrives in a fast paced environment.

This is an on-site position, Monday through Friday, from 9 AM to 6 PM. It starts as freelance with the potential to transition to full-time.

Daily Operations

  • Support the Studio Manager with day-to-day studio functions.

  • Serve as the first point of contact at the front desk—welcoming guests and clients, receiving deliveries, and answering phones with warmth and professionalism.

  • Maintain financial and administrative records, including tracking studio purchases and supporting invoicing processes.

  • Oversee studio maintenance: report issues to building management, liaise with vendors, coordinate repairs, and help source external contractors and gather estimates in a timely manner.

  • Restock and organize kitchen and office supplies; manage studio runs and general errands. Monitor and maintain inventory.

  • Receive and put away studio deliveries in an organized and timely manner.

  • Handle all incoming/outgoing shipments and keep records organized.

  • Monitor and update internal calendars (holidays, events, etc.).

  • Coordinate with other Residence companies for use of BUCK’s studio.

  • Lead by example for any Studio support staff or additional PAs.

  • Provide support when Studio Manager is off-site.

Staff and Client Services

  • Act as a point person for staff to report studio-related issues and follow up on status updates.

  • Coordinate guest visits: prepare welcome packets, book meeting spaces, and ensure rooms are properly set up (A/V, tech, food and beverage).

  • Collaborate with IT to ensure tech needs are covered for meetings and events.

  • Plan and coordinate catering for staff and client meetings.

  • Provide catering estimates for upcoming company events.

  • Help create a warm, inclusive, and functional experience for both staff and visitors.

Cultural Initiatives & Events

  • Partner with the Studio Manager to ideate and execute staff cultural events that build connection and community.

  • Support department heads in planning and running departmental events.

  • Take notes in culture committee meetings, assign action items, and help bring initiatives to life.

  • Create and post celebratory content (e.g. birthdays, holidays); Canva or other design tools are a plus.

  • Research vendors and supplies that align with BUCK’s culture, in line with our budget and BCorp status.

  • Oversee janitorial staff with the set up, clean up and reset for company breakfasts, lunches, happy hours & events.

  • Act as the first point of contact for external cultural events—take initial calls, gather key details, and organize the information for review and next steps with the Studio Manager.


Health and Safety Compliance

  • Execute health and safety regulations in collaboration with Studio Manager, HR, and Director of Studio Operations.

  • Work with HR to organize safety initiatives, update emergency documentation, and schedule training.

  • Track safety equipment expiration dates and first aid supply needs; communicate and file invoices with relevant vendors.

  • Proactively monitor studio conditions for potential hazards.

Company Meetings

Assist the Studio Manager in producing company-wide meetings:

  • Brainstorm topics, source speakers, and collaborate on decks, agendas and slack channels.

  • Organize technical needs with IT and schedule tech checks.

  • Collaborate on co-hosting and presenting content.

  • Research and coordinate catering for full-staff meetings.

Qualifications:

  • 2+ years of experience in a similar role—ideally within a fast paced environment, such as hospitality, customer service, and/or a studio environment.

  • Exceptional organizational skills with a proven ability to manage competing priorities, track multiple workflows, and maintain accurate records and inventory logs.

  • Strong communication and leadership skills, both written and verbal—clear, professional, and adaptable across internal teams, leadership, and external vendors or clients.

  • Comfortable using and upskilling in Google Workspace (Docs, Sheets, Calendar), Slack, Coda and Airbase. Ability to troubleshoot basic tech issues and liaise effectively with IT.

  • Interpersonal intelligence: Warm, approachable, and skilled at reading a room. Able to build trust quickly and represent the studio with professionalism and positivity.

  • Comfortable with public speaking and client-facing interactions.

  • Must have a valid driver’s license, reliable transportation, and willingness to help with rearranging studio furniture.

  • Being bilingual in Spanish is a plus.

  • Detail-focused yet flexible: Maintains a sharp eye for cleanliness, branding, and workflow consistency while staying calm and responsive in shifting circumstances.

  • Basic design skills (Canva or Adobe Creative Suite) are a plus.

Compensation:

  • This position will start as freelance with the potential to convert to full-time. Below are the salary and benefit expectations if this were to convert.

  • Salary Band: $65-80k annually
